To handle the full spectrum of HR & Administrative functions which include recruitment & selection, compensation & benefit, payroll administration, employee relations, industrial relations, statutory compliance, disciplinary & grievance issues, redundancies, termination, handle labour cases and all HR related matters.

ROLES & RESPONSIBILITIES

Recruitment / New Hire Process

Innovatively source candidates through various platforms (career centres, universities, job sites, social medias, etc), optimizing for talent and cost-efficiency.
Efficiently screen and organize applications, conducting thorough interviews and background checks.
Responsible to establish, prepare, update, manage and maintain HR-related databases, records and reports.
Lead a comprehensive and engaging orientation program, ensuring a smooth integration of new hires into our company culture.

Payroll and Benefits Administration

Update and maintain employee benefits, employment status, and similar records.
Maintain and update employee records, managing benefits and employment records.
Oversee payroll processes, ensuring accuracy in compensation, benefits, and statutory deductions.
Timely preparation of monthly payroll (including overtime, replacement day, staff claims, timesheet etc)
Liaise with governmental and regulatory bodies to ensure compliance with all legal requirements.

Record Maintenance / Labour Relations

Maintenance of current HR files and databases
Review, update and maintain proper filing of HR Handbook, HR SOP, Company panel clinic listing, performance appraisal forms.
Manage attendance and leave records, addressing absenteeism issues proactively.
Prepare and issuance of all HR related letters including, letter of offer, letter of confirmation, letter of increment, disciplinary letters, and etc.
Liaise with all relevant government parties and ensure the compliance to all statutory requirements such as KWSP, SOCSO, labour department and etc.
Assist in Industrial Relations matters such as investigations for domestic inquiry, grievance resolution, disciplinary process, etc.
Application and renewal of foreigners’ employment pass permit and licensing matters.
Handle all HR-related correspondence and engage in industrial relations matters, including visa and work permit processes.

Competency Management

Coordinate with department heads to identify and arrange relevant training programs for ongoing employees upskilling effort.
Evaluate the effectiveness of the respective training programs by obtaining feedback from employees.
Facilitate annual employees’ performance appraisals, KPI setting and marking.

Employee Management

To provide support, advice & consultation/counseling to the employee on HR matters (performance, attendance & disciplinary issues).
Attends to employees’ grievances and complaints; provides guidance if necessary.
Organize/ coordinate on corporate events (eg: company’s dinner including interrelated companies, family day, team building activities, etc).
Review and issuance of all departments’ staffs’ monthly duty rosters.
Prepare MOD schedule for every month.
Conduct employee exit interview/ survey to gain insights for continuous improvement.
Other duties as assigned by the Management

Administration

To conduct overall administration activities including asset management, information technology management.
To provide general administrative support to the department as such upkeep documentations, staff travel support services which include hotel booking, flight booking etc.
To coordinate on meetings, calendar invites and to provide minute taking.
To plan and implement administrative procedures and effectively manage the day to day administrative functions.
To monitor the office environment to ensure good house – keeping and good condition of equipment and premises in accordance with an established set of guidelines/ standards and take corrective steps to ensure its enforcement.

JOB REQUIREMENTS & QUALIFICATIONS

Bachelor’s Degree in Human Resource Management, Business Administration or equivalent;
A minimum of 3 years related working experience with a sound knowledge on Sarawak Labour Ordinance 1952 and other related statutory regulations;
Excellent interpersonal skills with the ability to build good rapport and credibility at all levels and able to establish collaborative relationships with other team members from other departments;
Proficient in MS Office;
Able to work under pressure and a multi-tasker
Candidates with payroll processing experience will be an added advantage;
Possess strong communication skills in English and Bahasa Malaysia, both oral and written; and
Matured, meticulous and possess good attention to details, analytical skills, problem-solving skills; interpersonal skills and with a self-starter attitude.
Able to set work priorities and identify the core functions of HR
Able to work independently and as a team.

REMUNERATION & BENEFITS

RM3,000 – RM5,000 of basic salary (Remuneration package commensurate with experience and qualification)
Statutory Contribution: EPF + SOCSO + EIS + Staff Benefits

WORKING HOUR:

Monday - Friday; 9.00am-6.00pm
